Tricia Robustelli, Client Relations Manager

Picture a creative team brainstorming taglines, designing eye-catching materials and crafting strategic multi-channel campaigns. Typically, that’s what most people think of when they envision a full service creative agency, like ours. And while it’s true, there are many other faces behind the scenes who are working to ensure those ideas are conveyed clearly and effectively to clients. I have the privilege of holding that role as Grapevine’s Client Relations Manager.

Simply put, my job is serving as a communicator! I’m the main point of contact for clients and act as a bridge between them and our creative team. Whether it’s social media content creation, designing a brochure or filming a client testimonial for a brand’s YouTube channel, the responsibility of a CRM is to ensure our clients’ wants, needs and overall vision are understood, produced and delivered.

Involved From the Jump: Understanding Clients’ Needs

So what happens first when we take on a new project or brand? An account executive and I meet with the client to understand their goals and challenges. In some cases, these conversations are very straightforward, like “I need help with my social media” or “my website needs to be updated.” Often, they express broader, more complex needs, such as “I want more leads. What can I do to achieve that?”

At this point, it’s about more than information gathering. We get a firm understanding of the client’s industry, marketing preferences and budget. From there, we collaborate with our creative team – from web developers to designers and copywriters – to brainstorm ideas that align with the client’s aspirations and business objectives. Once we pitch those big ideas, we’ve reached the fun part – the “creation” stage.

Setting Up the Creative Team for Success

My role doesn’t stop when the creatives take over – I stay involved every step of the way!

During the creative process, my responsibilities to the client become even more crucial as I work to ensure what they’ve expressed to me, with regard to their vision, is being executed properly.

It’s an understatement – we have an incredibly talented group of creatives, and I love giving them as much runway as possible to be bold, innovative and think outside the box. But there are times when providing constructive feedback is absolutely essential in keeping our projects on track, aligning with the client’s expectations, and ultimately ensuring they’re a success.

Delivering Results: The Proof Is in the Numbers

At Grapevine, we offer detailed monthly reports which provide valuable insights and data about specific services we’ve deployed for clients. Reports allow us to track how target audiences engage with our campaigns – and one of my favorite parts of the job is analyzing them. I’ve always been a numbers person, and the data paints a clear, honest picture of what’s working and where we can improve, ranging from year-over-year conversation rates to website traffic and patterns that help us in creating future strategies.

What’s just as important as data is listening to our clients. As a CRM, the projects we execute directly impact our clients’ businesses. Regular check-ins, open communication and client feedback are vital. With all of this, from reporting to the we creating relationships, I genuinely care about each client I work with and am invested in seeing them thrive!

No Day Is the Same – And the Lifecycle Never Stops

No matter the project, its lifecycle is continuous – and my role is to guide it through every phase. From kicking off new campaigns to relaying a client’s feedback to the creative team, no day is the same. Bottom line: it’s what keeps my work exciting! And in this crazy world of marketing, one thing remains constant: wanting the very best for my clients.
